As a leading retailer in Vietnam , operating a nationwide chain of supermarkets, the Client faces a massive volume of Point-of-Sale (POS) advertising materials and continuous promotional campaigns driven by seasonal or category needs. The core challenge lay in the manual design and deployment process, resulting in slow product data updates and a lack of a centralized platform to store and reuse past campaign information and design assets. The urgent need was for a dedicated digital design system, customized for their internal operating procedures, to synchronize product data and significantly optimize the speed of deploying marketing materials across all stores and distribution centers.

Solution

Reputyze Asia developed and deployed a Media Library System, seamlessly integrated with the Client’s existing e-Catalogue (Brochure) platform, effectively transforming the entire design workflow from a manual process to a centralized, automated digital operation.

The solution focuses on making data the central pillar of the design process. All critical information, including product details, pricing, and promotion programs, is automatically connected and updated directly from the Client’s original data source, completely eliminating manual data entry at the store level. This pivot ensures that all POS advertising materials are not only consistent with brand identity but are also absolutely accurate in content, leading to a significant reduction in deployment time.

Automated Data Tagging: Smart tags are attached to design templates, automatically displaying accurate, real-time pricing, SKU codes, and promotional details synchronized from the official source.

Centralized Digital Asset Management: All digital assets—product images, branded backgrounds, and custom fonts—are stored and managed in one central repository, ensuring brand uniformity across all designs.

Granular User Permission: Detailed user permissions are set per store or group of stores, strictly controlling who can modify sensitive information like pricing or promotions, thereby minimizing errors.

Flexible Sharing and Reusability: Stores can easily share design templates and layouts with one another, encouraging collaboration and efficient resource utilization.

AI Support: The system integrates the Generator AI Text tool, which automatically generates product descriptions (e.g., key highlights, uses) simply by inputting the product name, saving significant time on manual copywriting and ensuring compelling messaging.

The project followed a rigorous 9-step deployment process, from Requirement Gathering and Analysis to System Development (including API integration for data synchronization), Demo, and Continuous Refinement based on live feedback.
